In order to finalize your participation and your 2025 exhibitor agreement ,we need you to agree to the Rules And Regulations for exhibitors. Please find the WTC Exhibitor Rules And Regulations below. Once you have reviewed and agreed to them, please sign the agreement below the terms. If you are not the right person to receive this document, please forward this link to them.

If you have multiple booths, we only need one form. However, if multiple companies are represented, we need one form per company exhibiting.

We cannot approve your participation until we receive the executed terms. Feel free to contact Gary Adler if you have any questions.

World Ticket Conference Exhibitor Rules And Regulations

This constitutes your contractual agreement. Please read carefully.

WTC MANAGEMENT
The World Ticket Conference (“WTC”) is conducted under the direction of NATB. NATB, through its Board of Directors or Committees, shall have full power to interpret and enforce all Exhibit Rules and Regulations contained herein. A proposed exhibitor shall submit an application that will be reviewed and vetted by NATB. NATB reserves the right to deny, in its sole and absolute discretion, the right to exhibit, to restrict access to, or to remove any exhibit(s) and/or exhibitor(s) from the conference and trade show areas for any infraction or non-compliance with these Exhibit Rules and Regulations or NATB’s Code of Ethics or if the Exhibitor or its exhibit is not suitable for the WTC in the sole and absolute discretion of the NATB.

If you represent a group that sells tickets, facilitates ticket transactions, assists with payments, accounting, marketing, advertising, shipping, or technology, the WTC is where you need to be this July. If you are a company or person who represents bot or bot-adjacent technology, or methods to deceptively purchase tickets that could be interpreted by law enforcement as a violation of laws that make bot use illegal, please do not apply. In the past, exhibitor displays that have not comported with this policy have been taken down immediately after being brought to conference organizers’ attention, and the exhibitor was warned and not welcomed back. NATB will be monitoring the exhibit hall and will remove any exhibitor, display or sign it deems inappropriate in its sole and absolute discretion.

NATB also reserves the right to locate and relocate an exhibitor’s booth space. NATB will, however, use its best efforts to honor an exhibitor’s preferences.

PAYMENTS
The cost of the exhibit booth space is set forth on the WTC website and on the Exhibitor Packet and Booth Application. Full payment is to be made upon approval of a proposed exhibitor’s application.

CANCELLATIONS
Should the Exhibitor be unable to occupy and use the booth space contracted, NATB must be notified immediately in writing.

If the Exhibitor withdraws or reduces/cancels exhibit space, it shall forfeit all monies paid and all rights in and to the use of any contracted exhibit space. In such case, the Exhibitor shall have no right to a listing in the online exhibitor directory, exhibitor badges, or exhibitor hotel rooms. NATB shall have the right to dispose of the released space in such a way as it may consider in its interests (including re-sale of such exhibit space) without any liability on the part of NATB. THERE WILL BE NO REFUNDS OR TRANSFERS WHATSOEVER ON PAYMENT OF EXHIBIT SPACE. NATB reserves the right to resell, reassign, or utilize the booth space cancelled by the Exhibitor.

SUBLETTING AND ASSIGNMENT OF SPACE
OCCUPANCY OF BOOTH SPACE BY MORE THAN ONE EXHIBITING FIRM IS NOT ALLOWED UNLESS WRITTEN PERMISSION IS RECEIVED FROM NATB.

THE EXHIBITOR MAY NOT DISPLAY ANY PRODUCT OR SERVICES OTHER THAN THOSE MANUFACTURED OR SOLD IN THE REGULAR COURSE OF THE EXHIBITOR’S BUSINESS.

EXHIBIT DISPLAYS
The trade show floor plan will be provided once the layout is approved by the WTC Committee Each exhibitor is responsible for arranging electrical needs through WTC staff. Signs or special displays may not extend above 8’ in height. If you have special needs, please contact WTC staff prior to the meeting. No interreference with light or space of any other exhibitor will be permitted.

INSTALLATION AND DISMANTLING
Installation of exhibits will be done only during those hours as designated by NATB. Installation of exhibits and removal of exhibit crates, boxes, etc., must be completed by the designated time prior to the Exhibition Date.

Electricians, carpenters, laborers and porters necessary or where required by the regulations of the trade show facility for the unpacking and erection of displays, as well as dismantling and packing, will be furnished at prevailing local rates by the official show contract. Nothing shall be posted on, tacked, nailed, screwed or otherwise attached to the columns, walls, floors, furniture or other parts of the trade show facility. Damage resulting from such action shall be repaired at the expense of the Exhibitor.

It is the duty and responsibility of the Exhibitor to complete the installation of its display before the opening of the trade show and to dismantle and remove the display immediately after the close of the trade show. The Exhibitor expressly agrees not to begin packing or dismantling the display until the official closing hour of the trade show. If the Exhibitor fails to comply with this rule, it may be penalized, including, but not limited to, the loss of priority points, prevented from exhibiting in future shows, or moved to the back of the exhibit hall.

REGISTRATION OF EXHIBITORS
The Exhibitor shall submit prior to the WTC, on a form provided by NATB, a complete list of all personnel working in their exhibit. Admission will be by badge only and must be worn at all times. Identification badges are non-transferable. Exhibitor is allowed two (2) badges with a purchase of a booth. NATB reserves the right to limit the number of persons representing an exhibiting firm at any one time.

CONDUCT OF EXHIBITORS
All demonstrations or any other activities must be confined to the limits of the Exhibitor’s booth or space contracted for by the Exhibitor. Distribution by Exhibitor of any printed matter, promotional materials, souvenirs or other articles is strictly limited to the confines of the Exhibitor’s booth or space unless approved by NATB. No firm or organization not assigned space in the trade show will be permitted to solicit business within the trade show area, nor in any public spaces controlled by NATB.

Distribution of food or beverage of any kind is prohibited unless consumed within the Exhibitor’s booth or space and approved by the NATB. The service of alcoholic beverages in exhibits is strictly prohibited, unless prior written approval from NATB has been obtained. Any infraction of this rule may make it compulsory for NATB to close the Exhibitor’s booth for the remainder of the WTC.

SIGNS
Only signs that are educational, communicative and informative will be allowed in the Exhibitors’ booth or space and in the trade show area. Signs that are considered by NATB to be reasonably objectionable to other exhibitors or to attendees will not be permitted and will be removed.

AUDIO AND VISUAL EQUIPMENT
By attending and participating in the WTC conference you agree that you will not take any photography, videography or audiotaping to be used for commercial purposes (“Recordings”). Show management reserves the sole right itself and for its authorized vendors to make Recordings. Any party seeking to make Recordings of the show must be approved by the NATB in writing in advance. Violation of this rule shall be cause for immediate ejection from the event without refund and without participation in the future. You also agree that by attending the WTC Conference that the NATB may make Recording of you, your personnel and, if applicable, your booth space and products for commercial use.

Any Audio-Visual Equipment will be leased through the preferred and approved vendor of the WTC/NATB.

HOSPITALITY ROOMS AND EVENTS
Private or public rooms for any purpose will be available only to companies that have contracted space in the WTC. Prior permission from NATB is required before such space will be released. Exhibiting firms must confine these activities to hours that do not conflict with NATB activities. The distribution of promotional material for hospitality events in any public areas of either the host hotel or trade show facility is forbidden.

FIRE REGULATIONS
In accordance with local, city, state and federal fire regulations, no combustible materials, such as crepe paper, tissue paper, cardboard, corrugated paper, etc., shall be used in either the construction or decoration of an Exhibitor’s display. “Fire-proofed” paper is not considered non-combustible, as interpreted by fire inspectors. All muslin, velvet, silken or any other cloth decorations, carpet and drapes must be certified and stand a flameproof test as prescribed by fire ordinances. All materials and fluids that are inflammable must be kept in safety containers. All packing containers, excelsior and wrapping paper must be removed from the trade show floor and may not be stored under tables or behind displays.

LIABILITY/SECURITY/INSURANCE
Neither NATB nor its agents or employees, nor the owners of the trade show facility, nor its representatives or employees, shall be liable for any damage to the property or loss of business to the Exhibitor, or any loss by theft, or damage by fire or other means, or for any injuries to the Exhibitor, its employees, agents, customers or guests, arising from any cause or matter whatsoever, even though occasioned, caused or contributed to by the negligence of NATB or the trade show facility, their agents or employees.

The Exhibitor, on behalf of itself, its employees and agents, agrees to protect, indemnify, save and defend, and hold harmless NATB, its agents and employees, the trade show facility, its agents and employees, from all claims, costs, losses, damages and expenses arising out of or from any accident or other occurrences connected with the use or occupation by the Exhibitor of its booth space or from any repression resulting from the products or services promoted by Exhibitor.

PENALTIES
Failure to comply with these Exhibit Rules and Regulations, or any amendments hereto, will be sufficient cause for NATB to require the immediate removal of the exhibit of the offending exhibitor, who will forfeit all further rights to exhibit during the year, together with all fees and rentals paid. NATB may then lease any space so forfeited to another exhibitor.

EXHIBITOR LISTING/PHOTOGRAPHS
By participating in the Exposition, the Exhibitor grants to NATB a perpetual, fully paid, non-exclusive license to use, reproduce and display its name, trade name(s) of its product(s) and service(s) in any directory or other listing of exhibitors in any and all media, including, without limitation, print and electronic media. In no event shall NATB be liable for any errors or for the omission of the Exhibitor from any directory or other listing. The Exhibitor agrees that NATB may photograph, or video record the Exhibitor’s exhibit and workers, before and during the WTC and may use the same for promotional purposes. The Exhibitor warrants that it owns all intellectual property that it will use and the NATB otherwise has the legal right to use the intellectual property.

BREACH
If this contract is breached by the Exhibitor, the Exhibitor will not be permitted to exhibit and will be subject to eviction without refund. No waiver of any breach of these rules shall be held to be a waiver of any subsequent breach.

AMERICANS WITH DISABILITIES ACT
The Exhibitor agrees to comply with all applicable provisions of the Americans with Disabilities Act (the “ADA”) and shall indemnify NATB, their officers, directors, members, employees and agents from and against any loss, damage, claim, liability and expense (including reasonable attorneys’ fees) resulting from or arising out of the Exhibitor’s failure to comply with the provisions of the NATB and allegations of the Exhibitor’s failure to comply with provisions of the ADA.

FORCE MAJEURE/SHOW CANCELLATION
If an event, including but not limited to, acts of God, acts, regulations, or orders of governmental authorities; fire, floor or explosion; ware, disaster, civil disorder (including labor disputes or demonstrations of any kind), acts of terrorism or other violence, curtailment of transportation facilities, or other emergency, make it impossible, illegal or otherwise inadvisable for the NATB or the trade show facility to provide the facilities or services contracted herein, this contract shall terminate without further obligation on the part of any party hereto. In the event of cancellation, postponement, or disruption of the WTC for any cause, NATB shall have no obligation whatsoever to the Exhibitor. The Exhibitor hereby waives any and all claims against NATB for damages or compensation due to cancellation or postponement of the Exposition pursuant to this paragraph.

AMENDMENTS
NATB, through its representatives, shall have full authority in the interpretation and enforcement of all Exhibit Rules and Regulations contained herein, and shall have full authority to make such amendments or further Exhibit Rules and Regulations hereto as it shall consider necessary for the proper conduct of the WTC. The Exhibitors may appeal any decisions made by NATB regarding the above Exhibit Rules and Regulations to NATB’s Board of Directors, or its designated Committee, whose decision shall be final.
